Internship position in the IT department as a GLPI Assets intern, focused on setting up and implementing a complete asset management process within GLPI.
Tasks
Goal of the internship: to set up and implement a complete asset management process within GLPI, including physical tagging and a standardized issuance process.
- Asset registration and tagging: establishing a uniform naming convention (Asset ID structure); registering and verifying assets in GLPI; generating and printing barcode or QR labels; physically tagging all equipment; testing scan functionality.
- Structuring the asset lifecycle: defining and implementing statuses such as in stock, in use, under repair, and written off; setting up processes for equipment receipt, issuance, return/return, and repairs.
- Developing an issuance process: setting up a standardized procedure for equipment issuance; linking assets to users; integration with service desk processes and tickets.
- Generating issuance receipts (PDF): designing a PDF template for issuance; automatically generating documents with user details, asset information, date, and conditions; implementing a signing and storage process linked to tickets and assets.
- Automation and optimization: use of plugins and automation within the system; improving efficiency within first-line support; automating processes where possible.
- Documentation and transfer: drafting clear work instructions; documenting the entire process; transferring knowledge to IT staff.
- Expected deliverables: all assets registered and physically tagged; a working and standardized asset management process; a functional issuance process linked to tickets; automatically generated and signed PDF issuance receipts; complete documentation of the system and the working method.
